Position Summary
This Executive Assistant role at Shape Security will support our Chief Revenue Officer and the Sales organization. You will be responsible for handling a variety of professional and personal assistance responsibilities, enabling the people you support to be as productive and impactful as possible. You’ll be a superb, accurate, and agile organizer in managing expenses, travel, and calendaring. You’ll leverage your excellent communication skills, and exercise tact and diplomacy in helping to manage relationships with senior stakeholders both internal and external to Shape Security. In this role, you'll also demonstrate good judgment and strategic thinking by understanding competing priorities and prioritizing accordingly.


    • Provide executive-level administrative support to our Chief Revenue Officer
    • Make contacts of a sensitive nature inside and outside of the company
    • Handle complex calendars on an ongoing basis and prioritize commitments to maximize time and productivity
    • Work in tandem with other executive assistants on related matters
    • Arrange group and/or team meetings
    • Organize group events and meetings both on and off-site
    • Help manage external speaking engagements
    • Responsible for planning, budget, and logistics of simple and complex meeting coordination
    • Process expense reports working with finance for budget reconciliations
    • Schedule simple and complex travel arrangements both domestic and international for executives and other travelers
    • Create correspondence including complex and sensitive emails, letters, memos and reports
    • Communicate effectively with the team and other staff
    • Communicate sensitive or confidential information appropriately
    • Provide event research and supporting key events for C level execs (customer dinners, etc.)
    • Run personal errands and assist on personal projects

Required Qualifications

    • 4+ years supporting C level executives. Experience in the tech industry highly preferred
    • Experience managing a complex travel schedule (domestic & international travel)
    • Advanced skills in G Suite
    • Excellent written and verbal communication skills
    • High level of attention to detail
    • Must have demonstrated a high level of professionalism and discretion in handling confidential information
    • Highly resourceful team-player with the ability to also be extremely independent
    • Demonstrated ability to work well under pressure and within deadlines
    • Demonstrated organizational skills & ability to multi-task in a fast-paced environment and change direction quickly
    • 4-year college degree in business or related field of study preferred or equivalent professional experience
