Event Logistics Specialist at Exabeam

Reporting to the Senior Manager of Marketing Events, the Event Logistics Specialist will help with event production, logistics, budget management, and vendor management. Success will require close partnership across Sales and Marketing to help execute on our event strategy and drive pipeline goals and customer expansion. The position will be located at Exabeam HQ in San Mateo and will also require some travel. 

Responsibilities

    • Work with the event project management tool to keep track of event calendars, budgets and logistics.
    • Coordinate logistics for a variety of customer-facing field events, including deadline tracking.
    • Manage all event shipping and event supplies.
    • Order services for booths and events (AV, electric, F&B, etc.).
    • Work with legal to submit contracts.
    • Keep track of individual event budgets.
    • Manage invoices and work with accounts payable to process payments.
    • Create show information documents to share with various teams participating in events.
    • Coordinate hotel logistics and room blocks for various events.
    • Assume primary responsibility for event swag store. Coordinate inventory and re-stocking, manage budget, invoicing and payments.
    • Work closely with presenters/speakers within Exabeam to make sure logistics and presentation materials are submitted.
    • Work with internal teams to develop booth schedules for major events.
    • Collaborate cross-functionally with sales, partners, channel and marketing teams to ensure successful events.

Required Skills

    • Bachelor’s degree (or equivalent experience) 
    • 1-3 years applicable event coordination experience
    • Experience with budgets and logistic coordination
    • Detail oriented, multi-tasker and a team-player
    • Solid project management skills. Ability to manage multiple priorities under tight deadlines, in a fast-paced environment with competing priorities and last minute changes
    • Excellent interpersonal skills and ability to interact with cross-functional teams

Additional Requirements

    • Willing and able to travel as required (approximately 10%-20%)
    • Willing to work outside standard hours as needed, including some weekends if traveling to an event.
