Team
Our Operations department is the team behind the team! Supporting our employees and execs, we keep the meetings on time, the coffee hot, and the employees engaged. Made up of our finance team, and our Head of People, we are a small and scrappy team searching for an experienced OM/EA who isn’t afraid to roll up their sleeves.
 
Role
Working to nurture and develop office culture and employee engagement, this role will work closely with the Head of People and also the Executive Team (CEO, CMO, EVP-Global Sales) in a classic EA function, providing calendaring and scheduling support.

What you will get to do in this role:

    • Coordinate executive communications, including responding to emails and interfacing with board members, customers, partners, etc.
    • Perform calendaring duties including scheduling regular and recurring meetings, appointments and managing travel itineraries
    • Managing expense reports for exec staff
    • Be the face of the Santa Clara head office. Greeting clients, candidates and employees alike. Keep office organized and running smoothly
    • Help People ops onboard new hires - setting up desks, swag, etc.
    • Maintain vendor relationships to Coordinate and maintain office supplies including food and beverage orders, snacks, team meetings, and celebrations
    • Assist in planning all team events including quarterly Pledge 1% volunteer events, QBR’s, holiday parties, and annual kickoffs
    • Assist in additional company events such as tradeshows and conferences as needed

What you will need to be successful in this role:

    • Excellent interpersonal and communication skills
    • High level of discretion and confidentiality
    • 4+ years of OM/EA experience
    • 2+ years of internal office event planning experience
    • Proficiency in G-suite is a must (we are a G-suite shop!)
    • Strong problem solving and analytical thinking
    • Comfort working in quickly-changing environments
    • College degree or equivalent work/technical experience
