Position Summary
As an Administrative Assistant, you will be responsible for handling a variety of professional and personal assistance responsibilities. You are very organized and thrive off of enabling the people you support to be as productive and impactful as possible. You maintain incredible accuracy and agility when completing any given task and are committed to seeing every project through to its completion. Communication is one of your greatest strengths and you excel at constructing order out of chaos

Responsibilities

    • Provides administrative support to a C level executive working closely with their Executive Assistant
    • Makes contacts of sensitive nature inside and outside of the company
    • Handle complex calendars on an ongoing basis and prioritize commitments to maximize time and productivity
    • Work in tandem with other executive assistant on all related matters
    • Arranges group or team meetings; may take meeting minutes as needed
    • Organizes group events and meetings both on and off-site
    • Help manage external speaking engagements
    • Has responsibility for planning, budget, and logistics of simple and complex meeting coordination
    • Processes expense reports working with finance for budget reconciliations
    • Schedule simple and complex travel arrangements both domestic and international for executives and other travelers
    • Creates correspondence including complex and sensitive emails, letters, memos and reports
    • Communicate effectively with the team and other staff
    • Communicates sensitive or confidential information appropriately
    • Provide event research and supporting key events for C level execs (customer dinners, etc.)
    • Run personal errands and assist on personal projects

Required Qualifications

    • 2+ years Administrative Assistant experience
    • Experience managing a complex travel schedule
    • Advanced skills in G Suite or MS Office
    • Excellent written and verbal communication skills
    • High level of attention to detail
    • Must have demonstrated a high level of professionalism and discretion in handling confidential information
    • Demonstrated ability to work well under pressure and within deadlines
    • Demonstrated organizational skills & ability to multi-task in a fast-paced environment and change direction quickly
    • 4-year college degree in business or related field of study preferred or equivalent professional experience
