The Role:

The People Operations Assistant will be responsible for providing administrative support to the US People Operations team and coordinating a number of specific People Ops processes on a day-to-day basis to ensure the smooth running of the People Operations team.



Key responsibilities of the People Operations Assistant:

Own the process of onboarding new employees within the US including preparing new hire paperwork, completing I-9s, entering them into our People Ops systems, and first day meetings to go over benefits and all things Sojern

Support with general People Operations related documentation including employee offer letters, background checks, change letters, contractor agreements, etc

Coordinate and facilitate People Ops recurring meetings and trainings including New Hire Orientation, Lunch and Learns, Leadership Lounges, etc

Keep People Operations systems and internal files up to date

Keep People Operations information up to date on the Company Intranet

Support with our learning tool, Grovo, by creating and managing internal trainings

Support the People Operations audits e.g. job description updates/organizational chart updates

Maintain a working knowledge of US employment law and stay up to date with compliance needs with a focus on Nebraska, California, and New York

Support the People Operations team with various project work



Key requirements of the People Operations Assistant:

Previous experience working in a HR Administration role.

Superior understanding of the importance of maintaining confidentiality

Excellent administration skills, attention to detail, and the ability to work on your own initiative as well as within a team is essential.

Proven experience in interpreting and applying basic HR policies and procedures.

Communication and Influence - communicates effectively both verbally and in writing.

Personal Management - prioritises tasks effectively in order to deliver to agreed deadlines, keeping others informed and manage your own time effectively, including timekeeping.

Commitment to Excellence - uses their initiative, adapts positively to change, is proactive in finding solutions to issues.

Internal Relationships and Team Working - works co-operatively with others and values all working relationships in order to build and maintain positive relationships.

An extremely high sense of urgency and ability to work in fast-paced, ever-changing environment

High degree of organization and responsiveness required – you are great at juggling many projects because you have a great system to track every detail

An outstanding focus on achieving a high level of customer service and organization

Strong MS Office and Gmail skills
