About the Role

This role is responsible for supporting the PAI Operations Team in the definition, development, delivery and maintenance of project delivery standards for our global Workplace and Find.Build.Run programs. This role will help to create, redefine, and rollout processes and standards for brokers and project managers that will ensure consistent delivery, construction and maintenance of spaces, capture knowledge and lessons learned, as well as create benchmarks to measure success on every project.  The specific focus of this role will be implementation of global processes and procedures and training of all Find.Build.Run. (F.B.R.) Managers and Third-Party Project Managers for successful project delivery. You will be responsible for developing training and disseminating the content via live or online sessions. You will also help establish and maintain key initiatives and create global uniformity across all real estate service providers. The Global Program Manager will be required to maintain strong relationships with third party real estate project management firms in every region.You will work closely with each firm’s designated Single Point of Contact (SPOC) to the Uber account to ensure all Third-Party Project Managers are aware of and following Uber’s procedures and processes. In order to keep up with Uber’s fast paced needs, these initiatives and processes will be regularly evaluated and updated. Focus will include the relationship maintenance, accountability and management of the Third-Party Project Management resources.                                                                                                

 

The role will be responsible for the following key initiatives:

Find. – Work alongside the Global Operations Manager and Global Find Program Manager to ensure that Third-Party Brokers are trained on the latest Uber policies and procedures.

Build. – Assist in the development of global tools, processes and reportings standards for Third -Party Project Managers and liaise with respective F.B.R. managers to heighten uniformity of best practices across the regions. These initiatives will include clearly defining and documenting project objectives, budget, schedule, KPIs and approval processes through all phases of construction from site evaluation through project completion. KPIs will be measured by F.B.R. Managers, reported to the Operations team, and formally reviewed with the Third-Party firms on a quarterly basis.

Run. – You will help to establish process improvements that affect daily operations of the Run team as our Find and Build strategies mature.

 

This role will report to the Global Operations Manager and be part of our Global People & Places Organization based in San Francisco.



What You’ll Do

  • Support development of tools for Workplace team.
  • Help to maintain a global project management tool that standardizes cost forecasting, scheduling and global delivery standards.  
  • Provide training for F.B.R. Managers and Third-Party Project Managers on tools, policies, and processes within Find and Build.
  • Provide post-mortem evaluation of projects, identify and disseminate lessons learned to the team and maintain an evolving best practices resource.
  • Serve as the liaison between Workplace and FP&A to establish key metrics and reporting for Facilities.
  • Build processes and metrics around all functions driven through Workplace. Generate monthly reports and ongoing dashboards to show program and process effectiveness.
  • Assist in obtaining buy-in and feedback from F.B.R. Managers and HQ Partner stakeholders to maintain continual process improvements.
  • Build and implement processes to support the functionality and optimization of Workplace.
  • Champion partnerships (internally, interdepartmentally and externally) in initiatives and collaborative program rollouts.
  • Manage and leverage the external consultant and vendor relationships in coordination with Procurement.

 

What You’ll Need

  • 10+ years experience in Real Estate, Project Management and Facilities roles.
  • BS/Masters in a Construction related field with focus on sustainability and project management.
  • Proven experience in Project Management, managing and delivering capital projects with Third-Party PM or direct Design & Build model. Must have managed multiple projects at once and have the know-how to keep things on track.
  • Enthusiasm for solving problems and implementing innovative solutions.
  • Ability to manage challenges in a constantly changing fast paced environment.
  • Adept at holding vendors accountable to KPI standards and acting as a point of escalation with SPOCs.
  • Great communications skills and attention to detail.
  • Ability to travel.

About the Team

The PAI team is responsible for developing the strategic, metrics-driven tools and innovations with the Global Places groups and providing strategic recommendations to drive critical business plans, processes, and initiatives. The PAI Team supports cross-functional initiatives for the Places team and our internal business partners and stakeholders. The Program Management team supports process improvement via individual speciality focuses with the ability to collectively partner internally and externally on priority initiatives. Workplace Analytics supports ongoing reporting globally as well as variable projects and initiatives relative to portfolio data. The Operations team is responsible for managing the 3rd-party vendor programs including establishing global and regional KPIs, Governance, and uniform reporting standards.
